Native Audit Trails Using One Custom Function & One Field !
|
|
Over the past eight years, we have released a number of innovative methods for capturing audit trails of user edits of data fields in FileMaker Pro. Previous example files we've published have found their way into the toolkits of developers around the globe, and our audit trail techniques are represented in production systems from Iceland to Mozambique, to Detroit, to London, to Johannesburg ...to name but a few among many.
We are not done yet however. We have decided to share with you the essence of one of the simplest systems yet for creating a data audit. This is the most straightforward system we've seen, and can be implemented in minutes, yet it provides powerful capabilities and features.
In this implementation, the logging system is operable in FileMaker 7, FileMaker 8, FileMaker 9, FileMaker 10 and FileMaker 11 (including in mixed and hosted deployments) and uses a single Custom Function and a single text field (with auto-enter calc) per table for basic logging functionality (two additional Custom Functions are provided for scripting and prep support). The installation of Custom Functions requires FileMaker Pro Advanced - with which they can be copied and pasted from file to file in a matter of minutes.
We will not be withdrawing our AuditTracker demo, which was released in March 2004, as, although in some respects more complex to implement, it provides control and flexibility which may be of benefit for some implementations. We see the two techniques as complementary, each with particular strengths.
The particular strengths of this demo are its compactness and ease of implementation. The set-up of comprehensive logging, once the SuperLog( ) Custom Function is installed requires only one text field per table, with an auto-enter calc using one function SuperLog( ) requiring only two parameters. Truly the most straightforward implementation of data entry/edit logging we've seen to date.
UPDATE - December 2008:
Version 1.8 of the demo is now available for download. This version includes example scripts for clearing log field values, and for log prep (storing initial field values after implementation, or after clearing log data). In addition, this version provides support for logging values in repeating fields and for logging fields which contain multiple lines, it logs against the server system clock when the file is hosted and includes an additional custom function - ScriptLog( ) - to facilitate logging of changes made via script. The demo also includes an information screen with brief additional notes about the technique.
